Overview:

Use Customer Categories in Data Migration to import customer category records from a CSV or Excel file into N3 AI POS. Each category has a code, an optional name and an optional default setting. Prepare categories before assigning them to customers, and review the imported records in Customers > Categories.

At the end of this article, you will be able to:

• Open Customer Categories Data Migration and download the template

• Use the CustomerCategory and Information worksheets

• Identify required fields and prepare the default setting

• Upload, verify and import customer categories

• Check the categories before assigning them to customers

View Customer Categories Data Migration

1. Check the company shown at the top of the portal. Make sure it is the company you intend to maintain.

2. Expand Company > Tools in the left navigation panel, then click Data Migration.

3. Under Account Receivable, click the Customer Categories icon.

Tip – Choose Customer Categories to import category records. Customers is a separate migration option for customer records.

Before you begin

Complete General Setup and Tax Settings, as indicated on the migration page. Review existing category codes and identify which category, if any, you intend to mark as the default before preparing the file.

Understand the Customer Categories Template

On the Upload File screen, click Get Template. The downloaded Excel workbook contains CustomerCategory and Information worksheets. The worksheet images below come directly from that workbook.

1. First worksheet – CustomerCategory

Row 1 contains the import fields. Enter one category per row in the blank rows below it. Keep the three column headings unchanged.

2. Second worksheet – Information

Read this sheet before entering data. It provides import instructions and each field’s description, data type, required status and maximum length.

Note – Code is required. Name and Is Default are optional and may be left blank. Review the preview values before importing.

Prepare Customer Categories

1. Fill in the CustomerCategory worksheet. Fields marked * are required.

*Code – Unique category code, up to 20 characters. Check for duplicate codes in your file and existing category records.

Name – Description of the category, up to 100 characters. Use a clear name so staff can select the intended category.

Is Default – Use true to mark the category as default or false to leave it unmarked. Confirm that this matches your intended default setup; review the switch in the preview.

2. Check the field lengths and keep codes as Text in Excel where needed to preserve their original format. Save the file after reviewing all rows.

Note – Optional fields may be blank. Do not assume that reimporting a matching code updates an existing record or preserves its current values.

Upload and Import Customer Categories

1. Upload one completed .csv, .xlsx or .xls file. Click the upload area to select the file, or drag it into that area.

Tip – Use Get Template for the current column layout. Enter your import data in CustomerCategory and use Information as your filling guide.

2. At Verify, compare the Preview record count with your file. Check Code, Name and Is Default on every row.

Note – The example uses two fictional categories: true displays as Is Default on; false displays as off. Confirm your intended default setting before proceeding.

3. Correct any issues in the preview. To replace the file, click Back, select Customer Categories again and upload the corrected file.

4. Once all rows are correct, click Import Data. Read the result shown by the portal. If issues are reported, correct the affected records before retrying.
