Overview:
This article will cover the ways on how to issue a Refund Notes using QNE AI Cloud Accounting.
Scenario:
After the validation of an e-Invoice document, customers may request for a refund due to certain circumstances.
If the refund details have a valid reason, users may proceed with the refund process. Using QNE AI Cloud Accounting, here is how the user can follow through.
Solution::
1. From the Navigation screen, go to Sales and select Sales Credit Notes.
2. Create a document by selecting Add. The following will be the user’s screen.
3. Since a Sales Credit Note is also an E-Invoice document, there are four (4) scenarios of issuing a credit note.
I. Should the Sales Credit Note be for a validated E-Invoice document, users may select Full Validation for their E-Invoice Validation Control.
II. For non-validated document/consolidated E-invoice document, users may select Draft/Consolidated for their E-Invoice Validation Control.
III. For a document to be submitted as an E-Invoice but the user still lacks customers’ information (such as customer’s TIN, Address, etc.), users can request their customers to request for an E-Invoice by themselves. To provide so, users may select E-Invoice Portal for their E-Invoice Validation Control.
IV. For users who are exempted from E-Invoice (according to LHDNM regulations on E-Invoice), users may choose Exempted for their E-Invoice Validation Control.
4. Select the customer’s name by clicking on the dropdown.
5. For an already validated Sales Invoice document.
I. Click on the (+) button.
II. The system will list down a series of validated E-Invoices for users to select for the credit note.
III. If the validated Sales Invoice is created from previous year’s transaction, use the filtering function to find the document.
IV. Select the document intended for the creation of the Sales Credit Note. Then, click OK.
6. For a non-validated Sales Invoice document.
I. Manually key-in the Sales Invoice running number in the column.
7. Select the stock that is intended for the adjustment. Make the necessary adjustments (Quantity, Price, etc.).
8. Click Save.
9. For document saved as Full Validation:
I. Click on the Submit E-Invoice button.
II. Choose your submit option and click Confirm.
III. Wait for the status of the document to turn Valid.
10. Click Send to share the document with your customer via either Email, WhatsApp, Telegram or Link.
11. After sharing the document, go back to QNE AI Cloud Accounting. Go to Account Receivable and then select Customer Refund.
12. Create a document by selecting Add. The following will be the user’s screen.
13. Select the customer’s name by clicking on the dropdown.
14. The system will list down the Sales Credit Note created for the customer to be knocked off.
15. Fill in the details with an asterisk (*). Then, toggle the Match column button as open for the Sales Credit Note intended to create a refund and key-in the refund value at the Payment column.
16. In the Payment field, click Pay All to automatically fill-in all the outstanding Sales Credit Note documents. If the payment is made partially, key-in the value manually.
17. Click Save.
18. To see the journal entry of the transaction, click on the following button.
