Overview:
The user role purpose defines the specific function or objective a user plays within system. It determines the permissions, responsibilities, and tasks they are allowed or expected to perform.
Scenario:
User want to create different user role for related department or position. For example, sales representative, purchaser and so on.
Solution:
Expand Account> User roles
By default, system already have these 5 user roles but user can click on the Add button to create new user roles
Key in name for user role
After that click on the user role created to assign permission
Under user role will have 4 different category which control Data access, Report permission, additional features and user account assigned.
Data Permissions: To give user permission to access data in system
View: User able to view relative data/ transaction
Create: User able to create new data/ transaction
Update: User able to amend relative data/ transaction
Import: User able to import relative data/ transaction
Export: User able to export relative data/ transaction
Report Permissions: Representative user can view and amend relative report
Feature Permissions: Representative user can view and amend relative features
Members: showing user account that under this user role
After give permission for user role, click on Add Member button to assign this user role to related user account.
For example, if want to create user role for sales representative which can let sales person to issue sales transaction and view sales report but not allow to delete then can tick for all permission except Delete
Account Receivable: Allow sales person to create new customer/ prospect
Sales: Allow sales person to issue and amend sales transaction
Stock: Allow sales person to create new stock, update stock price
Go to Report Permissions, assign view permission for sales report and customer report to view customer aging
After that can add user account for this user role and save.
