How Can I Reject a Validated E-Invoices

Overview:

This article explains how to reject a validated e-Invoice in QNE Optimum. Users can only reject invoices issued by suppliers, not self-billed transactions. Even after rejection, the buyer must wait for the supplier to cancel the transaction within 72 hours (from the validation time). If not canceled, a debit or credit note must be issued for adjustments.

Scenario:

Suppose you receive an invoice from a supplier but notice an error. You can reject the invoice through QNE Optimum 

Solution: 

1. In Purchase Invoice, select the Supplier accordingly and update the Sales Invoice number which received from Supplier to ‘Supplier INV #’ column  

Note: System will check if Self-Billed Type is None, TIN Type, Registration No. and TIN No. has properly update

2. In e-Invoice tab, click on ‘Info’ button to retrieve Unique Identified No., and click again ensure the status is Valid  

3. And now, user can click Edit > Mark As > Reject

4. System pops up a screen to update the reject reason. Fill up the reason and click OK  

5. System displays Reject information in the specific column. Notice that the status still Valid as Pending Supplier to cancel it 

Refer to the double entries the posting is still valid  

6. Let’s say supplier has cancelled the transaction, user can click ‘Info’ button to retrieve the status. System will update the status accordingly. Note that the Supplier Rason is updated in the Details it will not overwrite in ‘Reject Reason’.

Note: User can trace ‘Reject Requested’ transaction in e-Invoice Power Search to follow up. If the Invoice is more than 72 hours (from the validation time) system will display in ‘Reject Requested Expired’ tab
