How to add e-Invoice Information and QR Code in existing Sales Invoice format

Overview: 

As part of Malaysia's e-Invoice implementation by LHDN, all validated e-Invoices will come with a unique QR code. This QR code serves as official proof that the invoice has been successfully submitted and validated by the tax authority.
 

By customizing your existing sales invoice format to include this QR code, you ensure that:

  • Your invoice is LHDN-compliant, containing all required validation details
  • Customers can easily scan and verify the e-Invoice status directly with LHDN
  • No manual attachment needed — the QR code links directly to the validated e-Invoice record
  • Printed or PDF invoices become valid supporting documents for tax and audit purposes

 

Failing to include the QR code may result in non-compliance, confusion for your customers, or even rejection of invoices for tax claims.


Scenario:

Before upgrade to e-Invoice function, you have your own existing Sales Invoice format

 

And there is no e-Invoice Information needed in the format.


After upgrade to e-Invoice function, there have e-Invoice Information that needed in Sales Invoice to provide to your customer

 

 

Solution:

To add these e-Invoice Information into your own customize format, please follow the below step

 

  1. Go to Sales > Sales Invoices > Click Task
  2. Click Design

       

 

3. On Format listing screen, double click <SR>02 – Sales Invoice (E-Invoice QR) format > Click Create


4. Then System will open Report Designer and left it open


5. Go back Format listing screen, double click your existing Sales Invoice Format


6. Your existing Sales Invoice format is open in Report Designer


7. Click on Sales Invoice (E-Invoice QR) to open this format 


Highlight e-Invoice Information table & QR Code and Right Click on QR Code > Click Copy

 


8. Go back your existing format and adjust the footer space to make it enough space to paste the e-Invoice Information and QR Code.

 


9. Right Click on the empty space > Click Paste


10. E-Invoice Information and QR Code is pasted in the format


11. Click on QR Code > Click on “>” button


12. Click “” button on Formatting Rules


13. Click Edit Rule Sheet… button


14. Click “+” button > Copy IsNullOrEmpty([Unique Identified No]) and Paste in the Condition


15. Scroll down and look for Visible > Click Dropdown button for Visible > Select NO


16. Click Dropdown button on Data Member > Select None


17. Change Name = IsValidEInvoice > Click Close.


18. Highlight IsValidEInvoice > Click “>” button to apply the rules


19. Click OK


20. Click Save button to save your existing format


21. Click File > Click Exit to close Report Designer


e-Invoice Information and QR Code is done added in your existing format 

If your Sales Invoice e-Invoice Status is Pending, system will not show out QR Code when preview.


If your Sales Invoice is Submitted/Valid/Invalid/Cancelled, system will show out QR Code when preview
