Create Stocks in QNE AI Cloud POS Portal Ⓙ

Overview:

 

This article explains how to create new stock items in the QNE AI Cloud POS Portal. Adding stock items is essential for managing inventory, pricing, and POS transactions. 

 

By following this guide, users can:  

 Add new products with item names, codes, descriptions, and pricing  

 Categorize stock items by group, class, or UOM  

 

Scenario:  

 

A store owner receives a new shipment of hardware tools, that need to be sold through the POS system. To make them available for sale, the user logs into the QNE AI Cloud POS Portal, goes to the Stocks module, and creates each item with the relevant details such as stock name, UOM, unit cost, selling price, and stock categories. This allows the items to be selected and sold through the POS immediately.

 

Solution:

 

1. Navigate to Stock > Stocks

 

 


2. A list of existing stocks will be displayed on this page. To create new stock, click Add button.

 

 

3. Fill in the required details such as Stock/Service # and Stock/Service Name.

 


4. For others field such as CategoryGroup, and Class is optional for you to choose from existing data.

 

 

5. You may upload the image of the Stock, if necessary, by clicking on the Upload button. Make sure the image to upload has been stored in your local storage.

 


 

Choose the image file from your local storage, then click Open to upload.

 

 

You can Remove the image by clicking the Remove button.

 


6. By default, the status of the new stock has been enabled as Active. If you require to set it as Inactive, you may toggle it off.

 

 

7. The Stock Control also has been enabled by default to track the movement of the stock. This movement will be affected in the Stock Journal for your reference. 

 

For any business owner that provides service like installations, or maintenance service but still want to record in POS, you may disable the Stock Control because there will be no stock movement involved for the services.
 

8. Fill in the optional field which is List Price, which will display in the POS and Purchase Price which will be the Unit Cost. It will be used for Purchase module.

 

 

9. In the UOM tab, you may fill in the Code column. By default, the base UOM should be UNIT. You may change it as you required.

 


10. The Unit Price and Unit Cost column will be automatically filled in based on the List Price = 12.90 and Purchase Price = 8.00 of the stocks for the Base UOM.

 

 

11. Rate column will explain how many base UOM is contained in the multiple UOM.

 

For example, for 1 unit of Screwdriver will be set by system as follows:


Base UOM = UNIT(S)

Rate = 1.000

 

 


Meanwhile, for 1 set of Screwdriver that contains 4 Units of Screwdriver, you may set as follows:


UOM = SET(S)

Rate = 4.000


 

 

12. Multiple UOM purposely to differentiate the price for 1 unit and 1 set of the stocks. For example, you purchased 1 set of screwdrivers from supplier and you want to sell them per unit. So the base UOM should be UNIT and the Multi UOM should be SET.

 


13. It is required for you to input the price which differs the price for multi UOM from the base UOM.

 

For example:


Unit Price for Base UOM = 12.90 and the Unit Cost = 8.00

Unit Price for Set UOM = 49.00 and Unit Cost = 30.00

 

 

14. In QNE AI Cloud POS Portal, it is optional for you to input your actual Stock Barcode or to generate a new barcode from the system if the stock have no barcode provided.

 

Input barcode manually: Fill in the stock’s actual barcode

 

 

Generate barcode from the system: Click on the small barcode icon.


 

15. For the Active and Base column, you are optional to set it as you required.

 

Active: Toggle ON if UOM is active, Toggle OFF is UOM is inactive.

Base: Toggle ON only 1 of the multiple UOM to set as the base UOM.

 


16. After you filling in the details, you can click Save, either to Save only, Save & New or Save & Close the form.

 

 

17. After you save the stocks details, there’s an option for you to print the Barcode by clicking Print Barcode button.

 


18. System will display the selection as below.

 

UOM: Select the assigned UOM in the stock, system allows you to select multiple UOM.

 

 

Barcode Format: You may select default Barcode Format that has been set from the Report Designer

 


Show price in report: Toggle ON if you require to show the price in barcode.

Show UOM in report:  Toggle ON if you require to show UOM in barcode.

 

 

19. Once you have selected the necessary information, you can click Preview button.

 


20. System will display the preview of the barcode which you can easily print using your barcode label printer without barcode software required. This will simplify the process on printing out the barcode for your products.

 

 

Now your new stock has been created successfully in the system. For any editing purpose, you may click Edit button and amend any details as required.
